Privacy Notice for Talent Management System – Umantis

At TenneT we highly value the privacy and protection of your personal data by ensuring processing in a transparent, lawful and secure manner as required by the Data Protection Legislation. Through this Privacy Notice we inform you about which personal data we collect from you, or that you provide to us and how your data will be processed by us in connection with our recruitment processes.

We use Umantis, an online Talent Management System, to improve our recruitment process. Umantis is a data processor, working on behalf of TenneT. 

When you apply for a job vacancy posted by TenneT, this Privacy Notice in addition to the Privacy Notice which has been provided to you separately or is available on our websites, will apply to the processing of your personal data.

If you use the "XOR Chatbot" service to apply, please see the note at the end of the statement.

When you apply for a job vacancy via the application function on a job site either TenneT TSO B.V in the Netherlands or TenneT TSO GmbH in Germany is the responsible controller.

GDPR Glossary (terms & definitions):

GDPR: General Data Protection Regulation (European data protection law).

Personal data: data linked to an individual, by means of which a person can be identified directly or indirectly e.g name, address, email, telephone number, financial data..etc.

Processor: a natural or legal person, public authority, agency or other body that processes personal data on behalf of controller.

Controller: a natural or legal person, public authority, agency or other body which defines the means and purpose of processing.

Processing: any operation or set of operations done on personal data such as collection, use, recording, editing, save, delete, etc.

Source of personal data

As a rule, we only receive your personal data from you.

Purpose of processing

We collect and process your personal data for the following purposes.

a) Data collected automatically via internet browser

We collect your personal data as you visit our websites (incl. applicant portal) via the web browser.
When you call up our web pages, you transmit data to our web server (out of technical necessity) via your internet browser. The following data is recorded during an ongoing connection for communication between your internet browser and our web server:

  • Date and time of the request
  • Name of the requested file
  • Page from which the file was requested
  • Access status (file transferred, file not found, etc.)
  • Web browser and operating system used
  • complete IP address of the requesting computer
  • amount of data transferred

For reasons of technical security, in particular to defend against attempted attacks on our web server, this data is stored by us for a short period of time. It is not possible for us to draw conclusions about individual persons on the basis of this data. The data can also be processed anonymously for statistical purposes.

We take security measures to protect the data we have under our control against manipulation, loss, destruction, access by unauthorized persons or against unauthorized disclosure. Our security measures are constantly being improved in line with technological developments. The data transfer between your local browser and our applicant management system is encrypted via https.

b) Cookies

Cookies are small pairs of values that are stored in your browser.
The cookie allows us to reuse your personal settings when you visit our website. You have data sovereignty over your cookies at all times. This means that you have control over who has access to your data. If other cookies are used in addition to technical mandatory cookies, we will ask for your consent separately.

c) Data collected by filling online vacancy application form

At TenneT, job appointments are made in cooperation between the responsible employees in our human resource units and the supervisors of the specialist units. The supervisors of the specialist units as well as the employees of our HR unit may belong to different companies of the TenneT Group. Therefore, your data may be exchanged within the TenneT Group.

The personal data you enter on the pages of the applicant management system will be collected, processed and used exclusively for the purposes of processing applications and in the job filling process. The data will be stored and processed by the service provider Haufe/Lexware commissioned by us on a server within the European Union in accordance with the applicable data protection regulations.

Your personal data will not be processed as part of an automated decision-making process.

Transfer and disclosure

We endeavor to use only processors in the European Union.
Employees of our company have access to your personal data to the extent necessary to fulfil the aforementioned purposes.

We use service providers to assist us in the processing of personal data within the scope of our business purpose and communication. These are in particular service providers for our IT and network operations, our mail processing, file/data carrier destruction, archiving as well as agencies/service providers for (corporate) communication. These service providers are subject to strict contractual agreements such as non-disclosure agreements, data protection declarations and contracts for order processing.

If cookies for external content are being set, your personal data may be transferred to the respective providers. If other cookies are used in addition to those that are technically mandatory, we will ask for your consent separately.

a) Application for a specific job

By applying for a specific job advertisement, you provide the company with your personal data. You have the option of applying exclusively for a defined position. Your data will only be made accessible to and processed by the employees who are entrusted with filling this position.

You are responsible for ensuring that this data is correct and truthful. You can view, update and delete the data you have provided at any time. Please note that changes to your profile will affect all your applications.

You have the possibility at any time to view or change your stored personal data under the identifier you have chosen, as well as to object to the processing of the data at datenschutz(at)tennet.eu or privacy(at)tennet.eu.

b) Unsolicited application

By releasing your profile in our applicant management system, you open your profile to the TenneT personnel departments. By releasing your profile, you consent to employees of the Human Resource units contacting you as part of personnel marketing measures for job vacancies.

Your data will be used within TenneT for search for suitable applicants. Apart from yourself, authorized employees of the human resources units have access to your data. If a job matching your profile is offered within TenneT, employees may contact you and also pass on your data to the responsible supervisors in the relevant units. If you no longer wish to do this from a certain point onwards, you can deactivate your profile at any time so that you can no longer be found in our unsolicited application pool. You can also delete your profile with all the data it contains and your registration completely at any time. You are responsible for ensuring that this data is up-to-date, correct and true.

Duration of storage

After the end of the application process or if you withdraw your application, your profile and all the data it contains will be deleted in accordance with the applicable legal provisions, (only applicable in Germany: pursuant to AGG section 21 para. 5 after 6 months).

We delete other personal data accordingly after the expiry of statutory retention periods. If there are no legal retention periods, all personal data will be deleted as soon as there is no other legitimate purpose for further retention.

Note on the use of the "XOR chatbot" for application purposes

The data provided as part of the use of the XOR Chatbot will be stored in the European Union. The chatbot is operated by:

TenneT receives the questions answered and information provided by you in the chatbot via the platform provided by XOR Inc. TenneT then further processes your personal data in accordance with this privacy policy.

As a data subject within the meaning of the GDPR, you basically have the following Rights:

  • You have the right to obtain information concerning your personal data processed (Art.15)
  • To correct incorrect personal data or to have incomplete data completed (Art.16).
  • Under certain legal conditions, you have the right to request deletion (Art.17)
  • Restriction of processing (Art.18)
  • To receive or transfer your personal data (Art.20)
  • To object to the processing of personal data concerning you (Art.21)
  • You have the right to appeal to a supervisory authority (Art. 77). You may, for example, contact the data protection supervisory authority at the following address.

  • You also have the right to revoke your consent: You may at any time revoke the consent you have given to the processing of your personal data with effect for the future and demand the immediate deletion of your personal data.
